Website Enquiries

If you submit an enquiry through this website, including through the contact form or Send us your AI question panel, we use the information you provide to respond to you and to decide whether our services may be relevant.

This may include your name, organisation, optional organisation location or postcode, email address, area of interest, message, IP address, user agent, timestamp and the page used to submit the enquiry.

Business Outreach

We may contact organisations to introduce AI, data insight, automation and reporting services that we think may be relevant to their work.

For business outreach, we may use organisation names, registration numbers, websites, role-based business email addresses, public contact details and notes about why our services may be relevant.

We do not intentionally use personal email addresses for first-contact outreach.

Where We Get Information From

We may collect information from public sources such as the Charity Commission public register, Companies House public register and data products, organisation websites, published annual reports, impact reports, accounts, policies or job adverts.

Lawful Basis

Where personal data is involved, our intended lawful basis is legitimate interests. Our legitimate interests are to respond to enquiries and to develop and market relevant business services to organisations that may reasonably have an operational need for them.

Direct Marketing And Opt-Outs

We only intend first-contact email outreach to corporate bodies or organisations that we have assessed as appropriate for business-to-business contact.

Every outreach email should identify us clearly and provide a simple way to opt out. If an organisation or contact asks us not to contact them again, we will add them to our suppression list and use that list to screen future outreach.

Website Hosting And Logs

The website is hosted on a Civo VPS in London, United Kingdom. Server logs may include IP address, user agent, requested URL and timestamp. We use these logs for security, troubleshooting and service operation.

Cookies And Similar Technologies

AIFor.Wales does not currently set analytics, advertising, tracking or personalisation cookies. The Send us your AI question panel runs in your browser for the current page view only and does not store draft messages in cookies, local storage or similar browser storage.

We may record first-party website interaction events, such as which main sections are viewed, which enquiry buttons are clicked, whether the enquiry panel is opened, and whether a form is submitted. These records do not include names, email addresses, message content, raw IP addresses or full user-agent strings. They may include page path, referrer, campaign tags, browser language, browser time zone and a salted source hash derived from IP address so we can understand repeat interest without storing the raw IP address in the event log.

Who We Share Information With

We may use service providers to operate email, hosting, storage, analytics or automation systems. These may include Microsoft 365, Civo and approved internal systems.

We do not sell prospect or enquiry data.

Where Information Is Stored

Website enquiries are stored on our UK-hosted website systems and are accessible only to authorised personnel. We use approved business systems to manage enquiries and retain records as described below.

Retention

If a prospect or enquiry does not become a lead or customer, we keep prospect research notes and enquiry records for up to 90 days, unless we need to keep a minimal suppression record to honour an opt-out or do-not-contact request.

We may also keep a minimal outreach send log for up to 12 months to prevent duplicate or poorly timed re-contact. This records domain, registration number where available, send/contact dates, batch ID and outcome only; it does not include organisation name, contact address, research notes or reply text.

Your Rights

You can ask us to confirm what personal data we hold about you, correct inaccurate information, delete information where applicable, restrict or object to our use of your information, or stop sending marketing communications.
