Data protection

Can charities use AI with sensitive data in the UK?

Yes. UK charities can use AI with sensitive data when approved sources, data location, human review and retention are designed in from the start. AIFor.Wales in Wrexham sets up Private AI Workspace and The Vault for that work.

The useful question

Not whether AI is allowed in the abstract.

The useful question is what data is being used, where it goes, what the AI is allowed to do, and who checks the result. Charities handle information that deserves that treatment.

Approved sources

Start with what the AI can see.

A controlled project may use approved policies, reporting exports, curated folders or specific database views. It should not depend on staff pasting sensitive material into unmanaged tools.

Where the data goes

Your tenancy, not someone else's tab.

Private AI Workspace runs on your own system, here in the UK. The Vault answers from your files and shows the page. Public chat tools are someone else's system reading the notes.

People stay in charge

AI can draft. People still sign it off.

AI can search, summarise and prepare. People still own decisions, exceptions, safeguarding judgement and anything that affects a person. A good system makes that review visible.

Questions

Short answers.

Can a UK charity use AI on case notes and service records?

It can, when the project names approved sources, where data is processed, who reviews the output, and how long material is kept. That is a design choice.

Is pasting into ChatGPT the same as a private workspace?

No. A public tab is someone else's system. Private AI Workspace runs on your tenancy, in the UK, with you still signing off what goes out.

Where should we start?

Read the ICO and Charity Commission pages linked on this article, then talk through one workflow with approved sources and a human review point.
